00 HOW TO USE THIS PHRASEBOOK

Use this phrasebook before meetings, while writing emails, when discussing deadlines, and whenever you need to communicate clearly at work. Practise complete phrases aloud, then adapt them to your own role and company.

THREE IMPORTANT LANGUAGE NOTES

Use Sie unless your workplace uses du. Many German companies use du internally, but Sie remains the safer choice with new contacts, clients, and senior external partners.

Make requests polite. Könnten Sie ..., Würden Sie ..., and bitte soften instructions and sound more professional than direct commands.

Learn phrases as complete blocks. Practice expressions such as Ich melde mich dazu and Könnten Sie das bitte genauer erklären? rather than memorising isolated words.

Workplace language varies by company, industry, hierarchy, and relationship. Adapt the level of formality to the situation and follow your organisation’s communication culture.

01 EVERYDAY PROFESSIONAL POLITENESS

These phrases help you start conversations, respond politely, and manage everyday workplace interactions.

02 OPENING AND STRUCTURING MEETINGS

Use these phrases to begin a meeting, explain its purpose, and guide participants through the agenda.

03 PARTICIPATING IN MEETINGS

These expressions help you enter the discussion, add information, and keep the conversation focused.

04 ASKING QUESTIONS AND CLARIFYING

Ask directly but politely when information, responsibilities, or expectations are unclear.

05 GIVING OPINIONS AND MAKING SUGGESTIONS

State your view clearly, then support it with a reason, example, or expected impact.

06 AGREEING AND DISAGREEING DIPLOMATICALLY

Professional disagreement is usually strongest when you acknowledge the other view before presenting your concern or alternative.

GERMAN ENGLISH
Dem stimme ich zu. I agree with that.
Da bin ich ganz Ihrer Meinung. I completely agree with you.
Das sehe ich ähnlich. I see that similarly.
Grundsätzlich stimme ich zu, allerdings ... I agree in principle; however ...

Lassen Sie uns die Vor- und Nachteile vergleichen. Let us compare the advantages and disadvantages.
Ich kann dem Vorschlag unter einer Voraussetzung zustimmen. I can agree to the proposal under one condition.

07 DEADLINES, PRIORITIES, AND WORKLOAD

Clarify dates, capacity, and trade-offs early. Avoid agreeing to an unrealistic deadline without explaining the impact.

Bis wann muss das fertig sein? By when does this need to be finished?
Der Abgabetermin ist am Freitag. The deadline is on Friday.

Wenn Aufgabe A Vorrang hat, verschiebt sich Aufgabe B. If task A takes priority, task B will be delayed.
Können wir den Umfang reduzieren? Can we reduce the scope?

08 GIVING UPDATES AND EXPLAINING PROBLEMS

A useful update states the current status, the issue, its impact, the action being taken, and when the next update will follow.

09 REQUESTING, DELEGATING, AND OFFERING HELP

Use a clear request, a realistic deadline, and the relevant context. Confirm who owns each task.

A professional email should make its purpose clear early. Use a specific subject line and keep the first paragraph concise.

11 PROFESSIONAL EMAILS: FOLLOW-UP AND CLOSING

Follow up politely, state the required action, and close with a phrase that matches the level of formality.

State the proposed time, duration, and purpose. When rescheduling, apologise briefly and offer a concrete alternative.
